Job Description

  1. Manage Directors electronic diary, assessing priority of appointments and reallocation as necessary.
  2. Manage Directors travel arrangements (including visas/accommodation).
  3. Process Directors correspondence, ensuring that incoming correspondence is dealt with by the Director/or on behalf of the Director, or other staff as appropriate.
  4. Maintain Directors office systems, including data management and filing.
  5. Maintain records of Directors contacts.
  6. Screen calls, enquiries and requests, and deal with them when appropriate.
  7. Assist Director in researching and following up with action on matters which fall within the Directors responsibility chasing responses, triggering follow-up action.
  8. Produce documents, briefing papers, reports and presentations for the Director.
  9. Organise meetings and ensure that Director is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers.
  10. Manage arrangements for Trustees and Sub-Committee meetings, including production/distribution of agenda and papers.
  11. Supervise all Trust incoming/outgoing mail.
  12. Any other duties as may reasonably be required by the Director.

Required Candidate profile

  1. Preferred Male Candidate.
  2. Be Comfortable in travelling.
  3. Educated to degree level or equivalent.
  4. Experienced Personal Assistant at senior management level.
  5. Experience of electronic diary management.
  6. Experience of working in a Higher Education Environment.
  7. Exceptional interpersonal and communication skills, to enable professional interaction with a wide range of contacts, both internal and external to the University.
  8. Ability to organize and plan own work.
  9. Excellent attention to detail, with the ability to maintain a high level of accuracy.
  10. A flexible, pro-active approach to work including the ability to prioritise and re-prioritise.
  11. Ability to work on own initiative.
  12. Ability to deal with sensitive information with discretion and to maintain confidentiality.
  13. Excellent IT skills, including a working knowledge of presentation software packages, preferably Microsoft Office Word, Excel and PowerPoint
